Licensing FAQ

Do you bill monthly or annually?

We provide monthly and annual billing options. The invoices can be paid using a credit card or a bank wire transfer.

Do you provide discounts?

Yes, we offer custom pricing for large environments and educational/non-profit customers. Get in touch with the Afi Sales (sales@afi.ai) to discuss details.

Do you charge per user?

Afi requires one license per one protected active user. Each user license contributes a certain amount of backup storage to a shared pool for the entire domain (as indicated in an Order Form).

There are no additional charges for SharePoint, Groups, Teams, Shared Mailboxes and Shared drives.

If you need to protect only SharePoint, Teams or Shared Drives - please contact sales@afi.ai.

Do you charge for all users in the domain? What is an active user?

Afi only charges for protected active users. I.e. you only need to pay for the users you back up.

Users deleted from Google Workspace (or Microsoft 365) are automatically transitioned to the "archived" (=non-active) status. The archived users require no separate licenses. Their data will still be kept in Afi and will be available for preview/download/restore to other active accounts (but no new backups will be attempted for the archived accounts).

Is there a default retention limit?

By default, the data is retained for an unlimited period of time, but you can configure custom retention policies as described here.

What if the number of users grows during the subscription term?

If the number of protected users or storage exceeds licensed usage during your subscription term, you will have two options:

  • Reduce the usage by removing the protection from some resources to align the number of protected users to the number of protected users.
  • Buy more licenses to cover additional usage. You will be able to add additional licenses at any time, and the cost will be calculated using Time-Based Proration.

Example – Time-Based Proration:

When a customer chooses to add more licenses, the amount the customer will be charged is based on the price of the additional licenses, and the time left in their current subscription before it renews. The purpose of the proration is to co-term new licenses with the licenses that the customer already has.

Customer Beta Ltd purchased an annual subscription for 1,000 protected users for $36,000 on January 1, 2019. On August 1, 2019, the customer needs to add 10 more licenses priced at $36 per year each. The annual price for the additional licenses is $360 and there are 5 months left in their current subscription. Beta Ltd will pay $150 to upgrade ($330 x 5/12).

On January 1, 2020, the subscription will renew and the customer will pay $36,360 (1,010 protected resources) and have the license active until January 1, 2021.

What are the payment options?

We use Stripe as our payment provider. Credit Cards and ACH/Wire transfers are the supported payment options.

Do I need to renew a subscription in the end of the billing period?

Afi service subscriptions renew automatically. If needed, you can adjust the number of licenses at any time during the current billing period or enable an auto-license feature to manage the license count automatically.
